What we collect when you ask for an estimate, what we do with it, and how to have it deleted.

Effective date: September 4, 2026

Windward Tree Co. (“Windward,” “we,” “us”) is a tree care company based in Vineyard Haven, Massachusetts. This policy explains what we collect through windwardmv.com, why we collect it, who we share it with, and how to have it removed. It applies to this website. It does not apply to anything you give us in person, on the phone, or on a signed work order, although we treat that information the same way.

Information we collect

Information you give us. The estimate form on this site asks for your name, phone number, email address, the property address or town, how urgent the work is, and a description of what is going on with the tree. All of it is optional in the sense that you do not have to use the form: you can call us instead. If you email us or leave a voicemail, we keep that message too.

Information collected automatically. Like most websites, ours records basic technical information when you visit: IP address, browser and device type, the pages you looked at, and the site or search that sent you. This is used to keep the site working and secure, and to understand in aggregate how it is used. It is not used to build a profile of you.

We do not ask for and do not want your Social Security number, driver’s license number, or bank or card details through this website. Please do not send them to us by email or through the form.

How we use it

  • To answer your enquiry, arrange a site visit, and write and send you an estimate.
  • To carry out work you have agreed to, and to invoice for it.
  • To keep records of jobs we have quoted or completed, including for insurance and warranty purposes.
  • To keep the website running, secure and backed up.
  • To comply with the law, and to establish or defend a legal claim if one arises.

We do not sell your personal information, and we do not share it with anyone for their own advertising.

Calls, texts and email

When you give us your phone number through the form, you are asking us to get in touch, and you agree that we may call or text you about your request and about the job that follows from it. Message and data rates may apply. You can tell us to stop at any time, by saying so on the phone, by replying STOP to a text, or by emailing us. Consent to receive calls or texts is not a condition of buying anything from us.

If we ever send marketing email, every message will identify us and carry a working unsubscribe link, and we will act on an unsubscribe promptly. Replies about a job you have asked us to look at are not marketing and will keep coming until the job is closed out.

Who we share it with

We share personal information only with parties that help us run the business, and only as far as they need it to do that job:

  • Our website host, which stores the site and its database.
  • Google, whose Gmail service receives and stores the estimate requests sent from this site.
  • Software we run on the site to handle forms, email delivery, caching and backups.
  • Our insurer, our accountant, or a lawyer, where a specific job or claim requires it.
  • Utility companies or a town department, where the work needs their involvement, such as a power drop or a conservation filing. We share only what that filing requires.

We will also disclose information if the law requires it, or to protect the safety, rights or property of a person, of you, or of us. If the business is ever sold or merged, customer records may transfer as part of it.

Cookies

This site uses cookies and similar technology for basic functions such as page caching, security, and remembering choices you make on the site. We may also use analytics tools to see, in aggregate, which pages people read and where visitors come from.

Most browsers let you refuse or delete cookies in their settings. Blocking them may stop parts of the site working properly. We honour the Global Privacy Control signal where your browser sends one.

Photographs of work sites

We photograph trees and work sites, before and after, as a record of the job and as evidence of how the work was done. We may publish some of these photographs on this site or on our social media. When we do, we identify the town, never the street address, and we do not name you or show the inside of your home. If a photograph of your property is on the site and you want it taken down, email us and we will remove it.

How long we keep it

Estimate requests that do not turn into work are kept for up to three years, so that we can pick up the conversation if you come back to us, and are then deleted. Records of completed work, including invoices and job photographs, are kept for up to seven years, because insurance, tax and liability questions about tree work can surface long after the crew has left. Website server logs are kept for a short period and then overwritten.

How we protect it

The site runs over an encrypted connection, access to the website and to the email account is limited to people who need it and is password protected, and backups are kept secure. No website or email system is perfectly secure, so we cannot promise that information sent over the internet is safe from interception. If we ever learn of a breach affecting your personal information, we will notify you and the Massachusetts authorities as state law requires.

Your choices

You can ask us at any time to tell you what information we hold about you, to correct it, or to delete it. Email us and we will respond within thirty days. We may keep the minimum needed to meet a legal or insurance obligation, and we will tell you if that applies. Asking us to delete your enquiry is not a problem and does not affect any work already agreed.

California residents

We are a small local business and we do not believe the California Consumer Privacy Act applies to us. Whether it does or not, our practice is the same: we do not sell or share your personal information, we do not use it for cross-context behavioural advertising, and if you are a California resident and ask us to disclose or delete what we hold, we will treat that request the same as anyone else’s. You will not be treated differently for asking.

Children

This site is meant for adults arranging work on a property. It is not directed to children under 13 and we do not knowingly collect information from them. If you believe a child has sent us information, email us and we will delete it.

Other sites

This site links to other places, including our sister company and our Google Business Profile. Once you follow a link you are on someone else’s site, under their privacy policy, and we are not responsible for what they do with your information.

Changes

If we change this policy we will post the new version here and update the effective date at the top. If the change is significant, we will say so plainly rather than quietly editing the page.

Free estimate

Call us, and a certified arborist comes out to look at the tree.

Every estimate starts the same way: a certified arborist from the crew that would run the job walks the site, checks the base of the trunk, the lean and the access, and prices what was actually seen. We answer estimate requests within one business day, and storm calls the same day.
